The reason is almost always the same: the tool asks the company to work the way the tool was designed, and the company does not work like that. What subscription software does
Ready-made products are well built and cost little at the start. They work well when the business process resembles the industry standard, when you need widespread features and when the company is willing to adapt to the tool.
The limits show up later: fields you do not need, mandatory steps no one follows, a fee that grows with the number of users, and data that stays on someone else’s systems.
What a custom CRM does
A custom-built CRM starts from the real journey of the client inside that specific company: where requests come from, who takes charge of them, which steps actually exist, which documents are needed, when a case is considered closed.
On that structure you build the useful automations: the request from the website that enters the system on its own, the reminder before the appointment, the alert when a case sits still for too long, the follow-up sequence for those who have not decided yet.
The advantage is not personalisation in itself. It is that people use it, because it mirrors the way they already work.
The three questions that clarify the choice
Does your process resemble the standard one in your industry? If so, a ready-made product is probably enough.
How many people will need to use it in three years? The per-user fee grows silently and becomes the cost item nobody had planned for.
How much is a client lost because no one called them back? If the answer is high, the issue is not the cost of the tool.

A CRM does not tidy up a disorganised company. It makes the disorder visible, which is already a lot, but it does not solve it in place of the people. That is why the first phase of our work is not technical: it is writing down the process as it really is, not as it should be.
